Online RSVP
Online RSVP and guest list for your event
An online RSVP lets your guests reply from their phones and puts every answer in one live guest list. With Graevents the RSVP is part of your online invitation: guests open the link or scan the QR code, reply in a minute, and you see it straight away.
How online RSVP works
Create and publish your invitation
Pick a theme, add your details and publish. Creating and previewing is free, and you choose a one-time package only when you are ready to publish.
Share your link or QR code
Send your invitation link, or print the QR invitation card. Guests scan the code with their phone camera and RSVP in their browser, with no app to install.
Guests reply online
Guests answer on the invitation, tell you their party size and, if you ask for them, give an email or phone number. They get a confirmation email with their personal check-in QR code.
Track every reply
See each reply in your live guest list. Change a guest's status when plans change, and export the list to CSV or print it.
Check guests in at the venue
Your team scans each guest's check-in QR code with their phone. A guest who is already checked in is flagged. Check-in needs an internet connection.
Controls for your RSVPs
By default anyone with your invitation link can RSVP, so share it with the people you want to invite. You decide the rest.
- Turn RSVPs on or off at any time to close registration.
- Set an RSVP deadline (it starts as the day before your event) and a separate, optional deadline for changing a reply.
- Set a capacity for the event and a largest party size for each RSVP, or turn group RSVPs off so each RSVP is one person.
- Choose whether guests must give an email address, a phone number, or both, and whether they can change their reply.
- If the same guest replies twice with the same email or phone, it updates one RSVP instead of making two.
Invite-only guest list
For an invite-only event, turn on Guest list only. Then only the guests you have added can RSVP.
- Add guests one at a time, or paste or upload a list of up to 500 names, as often as you like.
- Guests find their own name on your invitation and confirm. A name that is not on your list cannot RSVP.
- A note beside a name, such as "Santos Family", helps tell guests with the same name apart.
- Searches show names and notes only, never emails or phone numbers.
How guests are counted
- Your package sets how many people can attend each event. The limit counts people, not RSVPs, so a family of five uses five spaces.
- Declined and cancelled RSVPs do not count.
- An RSVP is accepted only if the whole party fits in the spaces left. If it does not, the guest is told how many spaces remain.
- To raise the limit, add a guests add-on or choose a larger package.
Emails and reminders
- Each confirmed guest gets an RSVP confirmation with their personal check-in QR code.
- You can email your invitation to the guests on your guest list in a few taps.
- Send event updates to your guests, and choose one optional reminder 1, 3 or 7 days before the event.
What happens after guests reply
- Seating (for weddings, debuts, birthdays, baptisms, corporate events and reunions): plan tables by family or group, and guests find their own table on a Find your table page.
- QR check-in: scan each guest at the door, with several staff scanning at once.
- Live raffle and games: draw winners from the guests who are checked in, pick a random guest, or split guests into teams.
- Reports: download your guest list, RSVP responses, attendance and raffle results.
- Digital photobook: let guests share their photos in one album with a live slideshow.
Common questions
- What does RSVP mean?
- RSVP comes from the French phrase "répondez, s'il vous plaît", which means "please reply". An online RSVP lets guests tell you from their phone whether they are coming.
- How do guests RSVP online with Graevents?
- They open your invitation link or scan its QR code and reply in their browser. They need no app. Each reply goes straight into your live guest list.
- Can I make my RSVP invite-only?
- Yes. Turn on Guest list only and add your guests. Each guest finds their own name on your invitation and confirms, and a name that is not on your list cannot RSVP.
- Can I set an RSVP deadline or close RSVPs?
- Yes. You can set a deadline, set a separate deadline for changing a reply, and turn RSVPs off at any time.
- Can guests change their RSVP?
- If you allow changes, a guest who has already replied can find their RSVP again with the email or phone they used and change their answer. You can also change a guest's status yourself from the Guests page.
- Can I export or print my guest list?
- Yes. Export your guest list to CSV or print it from the Guests page, which is also a good backup to keep before the event.
- How many guests can reply?
- Your package sets how many people can attend each event, and the limit counts people, not RSVPs. You can raise it with a guests add-on or a larger package.
- Is the online RSVP free?
- Creating and previewing your invitation is free. You choose a one-time package only when you are ready to publish and share it.
