Digital photobook for your event
A digital photobook is one shared album where your guests add the photos they take at your event. With Graevents it comes with your online invitation: guests scan a QR code, share from their phones, and you decide what appears. No app and no account.
How the digital photobook works
Turn on the photobook
Open Photobook from your invitation's Guests page and turn the album on. Add a short welcome message and up to 8 photo ideas, such as "Snap the dance floor", to guide what guests share.
Share the QR code
A Share your photos link appears at the bottom of your invitation. You can also print a sign with a QR code for the tables or the entrance.
Guests add their photos
Guests scan the code and choose photos on their phone. They can add a name and a caption if they like. They need no app and no account.
Approve what appears
Each photo waits for your approval first, so nothing shows before you say so. Approve or reject several at once, and hide or delete a photo later.
Play the live slideshow
Open the slideshow link on a TV or projector at the venue. New approved photos appear within seconds, in an Elegant, Playful, Modern or Editorial look.
Download your photos
Save the album from the Photobook page. Photos are kept for 90 days after your event, and we email you about 3 days before they are deleted.
What your guests see
Guests open one simple page on their phone, dressed in your invitation's colors and fonts, so it feels like part of the event.
- They reach it from the QR code on your sign or the Share your photos link at the bottom of your invitation.
- They choose photos from their phone, add an optional name and caption, and share. There is nothing to install and no account to make.
- They browse the album of approved photos and tap a heart on the ones they love. Each phone gives one heart per photo, and a tap again takes it back.
What you control
- You approve photos before anyone else sees them. For a small, trusted group you can switch approval off.
- Guests' names are not shown with their photos unless you choose to show who shared each one.
- You can pause sharing at any time. Sharing closes 14 days after your event.
- Keep the slideshow link to yourself: anyone who has it can open the slideshow. If it gets out, replace the link and the old one stops working straight away.
- Photos are checked, resized and stripped of hidden location data before they are saved, and the same photo can't be added twice.
A live slideshow for the venue
Show the party as it happens on a TV or projector. Open the slideshow link in any browser.
- New approved photos appear within seconds, then the slideshow cycles through the whole album.
- Choose a look that suits your event: Elegant, Playful, Modern or Editorial.
- Hearts float up the screen as guests send them, and the photo shows its heart count.
- Choose how long each photo stays on screen, and add a line of your own text.
- The slideshow can also use the colors and fonts you set for your guest pages.
Keep your photos
- Download the album from the Photobook page as a zip, as JPG files that are ready to print or as WebP. A big album comes in parts so each download stays quick.
- Guests' photos are kept for 90 days after your event and then deleted automatically. The Photobook page shows the date.
- We email you once, about 3 days before the photos are deleted, so you have time to save them.
How many photos fit
- The album has one shared total: room for 5 photos for every guest your package allows. A package for 500 guests has room for 2,500 photos in all.
- It is not a limit per guest. One guest can add more than five photos, and another can add fewer, as long as the album still has room. A single phone can add up to 100 photos.
- Photos you reject or hide still take room until you delete them. The Photobook page shows how much is used and warns you when the album is nearly full.
- More guests in your package means more room.
- The Digital Guest Photobook comes with selected packages. If yours does not include it, the Photobook page lists the packages that do.
