How to download and print your QR invitation card
After you publish, Graevents makes a printable 5×7 inch card in your theme's colors and fonts. Guests scan its QR code to open your full invitation and RSVP.
Download and print the card
Publish your invitation
The printable card is available once your invitation is published, because the QR code is created when you publish. If you haven't published yet, finish your invitation and click Publish.
Open the Share panel
Right after you publish, a window shows your invitation link and QR code. Later, open it any time with the Share button on your invitation or in My Invitations.
Click Printable QR Card
The card opens in a new tab, styled with your theme's colors and fonts and filled in with your event title and names, date, time, and venue.
Choose a card style
The style that suits your event type and theme is already selected and marked Recommended. Pick any of the eight styles to preview it instead. On a phone, use the arrows to see more styles.
Click Download PNG
You get a high-resolution PNG, 1500×2100 pixels, which is a 5×7 inch card at 300 DPI. You can also share the file digitally by message or email.
Print it at actual size
Print the PNG at 5×7 inches (127×178 mm) with the print dialog set to actual size, 100%, rather than fit to page. Use matte or glossy cardstock at home, or take the file to a print shop. Print one test copy and scan it with your phone before you print the whole batch.
How guests scan it
- Open the phone camera (no app to install).
- Point it at the QR code on the card and tap the link that appears.
- Your full invitation opens in the browser, where guests see the details and can RSVP when RSVP is on.
The code on the card is your invitation QR code. It is the same for every guest and only opens the invitation. It does not check anyone in: each confirmed guest gets a separate check-in QR code by email, and your team scans that one at the door.
Printing tips
- Print at 100% and don't shrink, stretch, or crop the card. The QR code needs its white border and its full size to scan reliably.
- Use the downloaded PNG, not a screenshot of the preview. The PNG has the full print resolution.
- Matte cardstock avoids glare, which helps cameras read the code in bright rooms.
- A 5×7 inch card fits an A7 envelope.
- Don't change the QR code's colors. The card keeps it dark on a light background so it scans well.
Troubleshooting
- I see “QR code not available yet”.
- Publish your invitation first. If it is already published, click “Retry QR generation” in the Share panel, then reopen the card.
- The printed code won't scan.
- Check that you printed at actual size (100%), on a clean light surface, and that the code isn't smudged, folded, or covered. Print a fresh copy from the downloaded PNG and test it with your phone camera.
- The print looks blurry.
- Print from the downloaded PNG, not a screenshot, and choose the highest print quality. The file is 1500×2100 pixels, which is sharp at 5×7 inches.
- I changed my event details after printing.
- The QR code and link keep working, and your invitation updates once you click Publish Changes. The text printed on a card, such as names, date, and venue, doesn't change, so download and print a new card if those details changed.
- How long does the card keep working?
- It works for as long as your invitation is live. After the event and its post-event access period, the invitation expires, its public link is turned off, and scanning shows that the invitation is no longer available. If you unpublish the invitation, the code also stops working until you publish it again. Your guest list and RSVPs stay in your dashboard.
